Early Bird Vendor Fee: Aunties Day Picnic in the Park

Please read the attached Vendor Agreement below: By submitting payment for a vendor space, you agree to the following vendor terms for The Aunties Room 5th Annual Aunties Day Picnic in the Park. Event Details Event Name: The Aunties Room 5th Annual Aunties Day Picnic in the Park Event Date: Sunday, July 26, 2026 Event Time: 3:00 PM – 6:00 PM Location: Yaupon Place Park, 1313 Westwood Ave, Richmond, VA 23227 Vendor Setup Time: 12:45 PM – 2:45 PM Vendor Breakdown Time: 6:00 PM – 7:00 PM Vendor Space Each approved vendor will receive one designated 10 x 10 vendor space. Vendor spaces are assigned by The Aunties Room and may not be transferred, shared, or sold to another vendor without written approval. Vendors are responsible for bringing their own tables, chairs, tents, displays, signage, and any other items needed for their setup unless otherwise stated. All vendor tables must be covered with a cloth table covering or skirted tablecloth to maintain a clean, polished, and professional appearance. Vendor Fee Vendor fees are as follows: Early Bird Vendor Fee: $45 (sale ends July 10, 2026) Regular Vendor Fee: $60 Vendor payment must be made online through www.theauntiesroom.com Vendor space is not guaranteed until payment has been received in full. All vendor fees are non-refundable, unless the event is canceled by The Aunties Room. Approved Products and Services Vendors may only sell or promote the products and services listed on their approved vendor application. Any changes to approved products or services must be approved by The Aunties Room before the event. The Aunties Room reserves the right to deny or remove any products, services, signage, or materials that are unsafe, illegal, offensive, inappropriate, or not aligned with the purpose and values of the event. Setup and Breakdown Vendors may begin setting up at 12:45 PM and must be fully set up by 2:45 PM. Vendors are expected to remain open and present for the full event from 3:00 PM – 6:00 PM. Early breakdown or leaving before the event ends without approval may affect your ability to vend at future events. Vendors are responsible for cleaning their space and removing all trash, merchandise, displays, and equipment before leaving. Licenses, Permits, and Taxes Vendors are responsible for obtaining any licenses, permits, certifications, or approvals required for their business, products, or services. Vendors are also responsible for collecting and submitting any applicable sales taxes. Food vendors are responsible for following all health department rules, food safety requirements, and permit requirements. The Aunties Room is not responsible for obtaining permits, licenses, insurance, or tax documents on behalf of vendors. Safety and Professional Conduct Vendors must keep their booth area clean, safe, and professional at all times. Vendors may not block walkways, emergency areas, neighboring vendor spaces, or public access areas. Tents, tables, displays, signage, electrical equipment, generators, and cooking equipment must be safely secured and used properly. The Aunties Room reserves the right to ask a vendor to correct or remove anything considered unsafe or disruptive. Vendors are expected to conduct business in a respectful, professional, and family-friendly manner. Harassment, discrimination, abusive behavior, illegal activity, unsafe practices, or disruptive conduct may result in removal from the event without refund. Liability Vendors participate at their own risk. Vendors are responsible for their own products, services, equipment, employees, helpers, guests, sales, payments, and booth operations. The Aunties Room, event staff, volunteers, sponsors, and venue partners are not responsible for vendor losses, theft, injury, damage, accidents, lost sales, or claims related to vendor participation. Vendors agree to hold harmless The Aunties Room LLC, the event organizer, event staff, volunteers, sponsors, venue partners, and affiliated parties from any claims, damages, or expenses related to their participation in the event. Vendors are encouraged to carry their own general liability insurance. Weather and Event Changes This is a rain-or-shine event unless The Aunties Room determines otherwise. The Aunties Room is not responsible for losses, reduced attendance, weather-related issues, emergencies, natural disasters, government actions, venue restrictions, or circumstances outside of the Organizer’s control. If the event is canceled by The Aunties Room, vendor fees may be refunded or applied to a rescheduled event date, at the Organizer’s discretion. Photos and Promotion By participating in the event, vendors give The Aunties Room permission to photograph and record their booth, products, displays, signage, and representatives during the event. Photos and videos may be used for social media, marketing, promotion, advertising, event recaps, website content, and future event promotion without additional approval or payment. Cancellation and No-Shows Vendor fees are non-refundable unless the event is canceled by The Aunties Room. No-shows will forfeit all fees paid. If a vendor can no longer attend, they must notify The Aunties Room in writing as soon as possible. Vendor spaces may not be transferred, sold, or given to another business without written approval. Agreement to Terms By submitting payment for a vendor space, you confirm that you have read, understood, and agree to the vendor terms listed above. You also confirm that all information submitted in your vendor application is accurate and that you are responsible for following all event rules, vendor requirements, and applicable laws. You understand that failure to follow these terms may result in removal from the event without refund. “I have read and agree to the Vendor Agreement, including the non-refundable vendor fee policy, setup requirements, and vendor responsibilities liability terms, and event rules.
